NDA Study Creation | NDA Study Acknowledgments

Researchers who share data through NDA, or who conduct a secondary analysis on data shared through NDA, are expected as part of the Terms of Use to report their results using the NDA Study feature. An NDA Study links a finding, data release, or publication directly to the underlying subject-level records for the data defined. Automatically, the NDA Study provides attribution (i.e. credit) for those that contributed the data. Each NDA Study is also issued a Digital Object Identifier (DOI), which is expected to be referenced in the publication as a persistent link to the supporting dataset. Read on to learn more about how the NDA Study must be used to cite data and provide acknowledgment of its original collectors when used for secondary analyses, and how to create one while preparing to publish a manuscript.

NDA only accepts data that are properly consented. However, you may create an NDA Study for which not all the data analyzed in your publication are housed in NDA. To inform end users who access your NDA Studies, we ask that you provide supporting documentation in each NDA Study to explain why some of the data used in the analysis are not hosted in NDA and how interested parties can access the additional data to ensure reproducibility of your published research.

Please note that data used in any manuscript will be shared upon publication, through an NDA Study, even if publication occurs prior to the end of the grant.

NDA Study Creation

If you are preparing a manuscript, have recently published, or are at the end of the grant award, it is likely time for you to create an NDA Study.

If your manuscript is not ready to publish and the data are not ready to share, you can leave an NDA Study incomplete at any step in the process, being sure to save your progress. Even an empty shell of an NDA Study can be assigned a Digital Object Identifier (DOI).

The DOI is a persistent link to the location of the dataset so that it may be cited in your manuscript as defined in the Acknowledgement section of your Data Submission Agreement or Data Use Certification. In order to properly include this citation in the manuscript, you'll need to prepare ahead of time by creating an NDA Study and getting your DOI generated. In other words, the broad steps will be:

Begin preparing your manuscript.
Visit the NDA website and create at minimum a placeholder or shell (if possible you could complete its creation) NDA Study.
Generate a DOI in the NDA Study.
Add the DOI to your manuscript as defined in the Acknowledgement section of your agreement.
Use the appropriate Acknowledgement language.
When the paper is ready to be published, complete the NDA Study if needed, and share it when appropriate.

When an NDA Study is created, only the individual-level data used in the publication are shared with the general research community. The other data in the NDA Collection that are not used in the publication are not shared and remain private. A DOI is issued for each NDA Study and authors are expected to reference the location of data in the publication using the DOI. To do this, authors are expected to contact the NDA Help Desk when a manuscript is submitted for review so that the NDA Study and the DOI can be issued and included in the actual publication. A DOI for the underlying data may increase the visibility of your work.

To create an NDA Study, refer to the brief tutorial and basic steps below that:

How to Create an NDA Study

The NDA Study is created initially by clicking an "Add New Study" on the Data From Papers page.
In the empty NDA Study, enter all applicable information in the General Tab, then hit "Save" using the button at the bottom.
In the Cohorts Tab of the Study, create one or more Cohorts, filling out the required information to describe them. "Save" the page after adding each Cohort. You should now have one or more empty Cohorts with descriptive information.
In the remaining tabs, complete the appropriate information to provide queryable metadata on your NDA Study and hit "Save".
Leaving your incomplete NDAStudy, proceed to any of the NDA Query Tools, and select the subjects whose data are used in this manuscript to build a package. The easiest way to do this is to enter their Global Unique IDs (GUIDs) into the Query by GUID tool.
Proceed to the packaging step through your Filter Cart but assign these subjects to the appropriate Cohort using the options available instead of packaging them for download.
Once this is completed for all Cohorts, return to the Cohorts tab and add measures, designating them as primary or secondary outcome measures.
Once all data are specified and all tabs completed, you can "Save" the NDA Study and share it.

If a manuscript was accidentally published without following the expected protocol (i.e. creating an NDA Study, obtaining a DOI, and citing the DOI in the publication), it may still be possible to retrospectively cite the data Collection used if the publication references the grant number from which the data were collected. Each NDA Collection has a Publications Tab, which lists publications in PubMed that reference the grant number associated with that NDA Collection. This tab is populated automatically, and you can view the tab to mark publications as relevant or not relevant to the data that has been submitted to your NDA Collection. If a publication is relevant, you can click Create Study to begin the process from this tab. This will take you to the unsaved General Tab of your new NDA Study, pre-populated with all of the required information, pulled directly from PubMed. Please note manuscripts should have an associated DOI and NDA Study prior to publication, so this feature should only be used as a convenient way to report results retrospectively or to correct a mistake and a publication that may have been missed.

Again, specific data used in a publication will be shared at the time of publication. All other data that are part of your final dataset as defined in the Data Sharing Terms and Conditions will be shared 2 years after your original project end date.

NDA Study Acknowledgments

Researchers should include appropriate acknowledgment language in any oral or written presentation, disclosure, or publication describing the analysis of NDA data, as described in the terms of the NDA Data Use Certification (DUC) and the NDA Data Submission Agreement (DSA). The acknowledgment statement includes a disclaimer of NIH endorsement. The acknowledgment language specific to each NDA repository is presented in the table below.
